Front Office & Scheduling Specialist

The ideal candidate will have outstanding communication skills, is well-organized, a self-starter, a fast learner, and able to take direction from various people. This person will be a problem-solver, takes initiative to improve processes and efficiency, and who wants to help create ease and harmony in the office.

Key Responsibilities:

  • Respond promptly and professionally to customer inquiries via phone, email, chat, or in person.
  • Handle and resolve customer complaints by identifying issues and finding appropriate solutions.
  • Process orders, returns, and exchanges accurately and efficiently.
  • Maintain up-to-date knowledge of company products, services, and policies to provide accurate information to customers.
  • Record details of customer interactions, inquiries, complaints, and actions taken in the CRM system.
  • Collaborate with other departments to address and resolve complex issues.
  • Follow up with customers to ensure their issues are resolved and they are satisfied with the service.
  • Identify opportunities to upsell or cross-sell products and services when appropriate.
  • Monitor customer feedback and provide insights to improve service quality.
  • Proactively call customers from the database to offer assistance, provide updates, or collect feedback.
  • Adhere to company policies, procedures, and service standards.
  • Represent the company professionally through phone and email interactions.
  • Maintain customer confidence and protect operations by keeping information confidential.
  • Ensure excellent customer service by keeping customers informed about company services and project updates.
  • Keep customer records and files current and updated, as well as send customers information about the company and/or services performed.
  • Perform administrative functions to support all departments as needed
  • Be proficient in Microsoft Office (Word, Excel, Outlook, etc.) and demonstrate computer systems savvy.
  • Ensure regular and punctual attendance
  • Support office staff and management with additional tasks as requested.
  • Ability to perform accurate data entry and maintain organized records.
  • Strong ability to manage time effectively and meet deadlines.
  • Strong understanding of customer service principles and practices.
  • Skilled in operating personal computers and Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Excellent verbal and written communication skills.
  • Strong attention to detail, ability to multitask, and maintain office management best practices.
  • Ability to follow instructions, think critically, and work independently on projects.
  • A self-motivated and detail-oriented individual who works well with others and takes initiative.
  • Software skills: Microsoft Office applications.
  • Good time-management skills
  • Critical-thinker and problem-solver

Education and Experience:

- High School diploma or equivalent, with at least 1 year of related experience. Some college is preferred in Office Administration or a related field.

- Must be 18 years of age or older.
