Under the directions of Operations Manager and Lead Patient Care Assistant at the health center, the Patient Care Assistant is responsible to support delivery of patient care by providing clerical and receptionist services to patients’, families, visitors, staff, physicians, and departments that support patient care. Facilitates efficient workflow, supports appropriate use of technology and fosters effective communication to fulfill organizations mission.

Administrative Duties:
  1. Greet patients and visitors and direct them to appropriate services (IBCCP, WIC, All Kids and other)
  2. Provide efficient telephone service and transfer calls according to established protocols
  3. Schedule appointments according to agency guidelines
  4. Register patients according to the agency protocol
  5. Complete insurance related forms and verify eligibility of all patients
  6. Determine financial status of the patients, assist the patients in accurately completing the forms and ensure up to date documentation of all patient information
       7.   Renew the financial assessments annually for               all private pay patients. 
      8.    Explain clinic policy and procedures to                           patients
  1. Direct messages and faxes from answering service appropriately every morning
  2. Receive and deliver daily messages and faxes
  3. Process incoming and outgoing mail
  4. Maintain the receptionist area including the forms and office supplies Before the end of the day transfer the calls to the answering service

  6. Secure the building at the close of each working day; open the building at the designated time and ensure that the front desk activities are fully operational at the start of the business hours
  7. Attend staff and educational meetings
  1. Maintain the log of patient sign-in sheets and track their wait time
  2. Pull and prepare patient charts manually if needed otherwise do intake in EMR
  3. Accurately record patient data and demographics
  4. Call to reschedule patients that have not showed up and remind patients of their appointments, daily confirmations
  5. Communicate effectively with the clinical staff regarding patient flow
  6. Follow the appointment scheduling protocol as designed by the management
  7. Duties are assigned and are not limited to the above
  1. Collect fees/copayments, clearly document fee for each service clearly on the encounter form and initial
  2. Dispense receipts to every patient that checks out and document in EMR or manually, if required.
  3. Enter daily lockbox deposit data into cash receipts summary spread sheet.
  4. Count and record cash collected and prepare cash deposit slip.
  5. Reconcile patient account posting in EMR or in log sheet when system is down.
  6. Submit log sheet cash and receipts to billing staff in a timely manner
  7. Follow policies in handling cash

  7. Person must be math literate, organized and detailed oriented

  1. Bilingual preferred
  2. Familiarity with medical terminology
  1. High School Diploma minimum. College education preferred
  2. Experience as a receptionist or Patient Care Assistant in healthcare setting
  3. Experience with general office software (Athena, Dentrix, Microsoft Office Suite)
